This notice explains how Bright Earth Energy handles information when you contact us, arrange heating work or use our website.

Who we are

Information you give us

Our enquiry form collects your name, email address, telephone number, optional postcode, service needed, callback preference and message. Your message may include details of your property, boiler or heating problem. Please provide only information relevant to your enquiry.

When you arrange work, we may also need your service address, appointment details and records of the work and payment. We keep customer and job correspondence in email using Microsoft and Google. We do not use a separate customer database, spreadsheet or job-management system.

We need enough contact and job information to respond, assess availability and arrange the requested service. Without it, we may be unable to help with your enquiry.

How and why we use information

  • Enquiries, quotations and requested work: to take steps you request before entering a contract and to carry out the agreed service.
  • General correspondence and website security: for our legitimate interests in responding to people, running the business and preventing spam or misuse.
  • Necessary business records: to meet legal obligations, including accounting requirements.

We use your contact details to respond to enquiries and communicate about work you request. We do not send service reminders, promotional messages or newsletters.

Who handles your information

Website enquiries are sent to our business inbox at help@brightearthenergy.com. The website uses SendGrid, a Twilio service, to deliver outgoing email. WordPress also keeps outgoing-email logs, which can include message content and contact details.

Microsoft and Google provide our email services and handle email content, contact details and associated technical information. Our website and IT providers process information needed to operate the site and its services.

Cookies, analytics and Google services

We use Google Analytics only after you select Accept analytics. It helps us understand website visits and successful enquiries. You can select Reject analytics and still browse the website and contact us. Our lawful basis for this optional analytics is your consent.

Use the Cookie settings button at the bottom-left of any page to review or change your choice. Rejecting analytics stops further Analytics measurement and removes the Analytics cookies available to this website. It does not erase information already collected. We remember your choice in your browser for 180 days; clearing your browser storage removes it.

When accepted, Google Analytics receives technical and usage information such as pages visited, browser and device information, referral source and successful form-send events. Our enquiry event includes the form identifier, not your name, email address, telephone number, postcode or message. Logged-in WordPress users are excluded from this tracking. Advertising consent remains off.

Analytics cookies, including _ga and _ga_10EK2TPVH8, are configured with a six-month expiry. In Google Analytics, detailed event data is retained for two months and user data for 14 months; the user-data period resets on new activity. Aggregated reports may be kept for longer.

The website also uses Google reCAPTCHA to protect contact forms and an embedded Google Map of our service area. These services are separate from the optional Analytics control and may process technical information about your browser, device and connection. Our contact form displays links to Google’s privacy information and terms.

You can also manage cookies through your browser settings, although this may affect some website features. Google provides a Google Analytics opt-out browser add-on. Read the Google Privacy Policy for information about Google’s processing.

How long we keep information

We use the following review practices to avoid keeping information that is no longer needed:

  • Enquiries that do not become jobs: we review our inbox annually and remove enquiries more than 12 months old where they are no longer needed.
  • Invoices and supporting accounting correspondence: we keep necessary records for six years from the end of the last company financial year they relate to, or longer where required. Other job correspondence is reviewed against the work, warranty, complaint or dispute it is needed for.
  • Website email logs: we review these quarterly and remove entries over 90 days old unless needed to investigate an unresolved delivery problem.

These are review practices rather than automatic deletion deadlines. Relevant information may be kept while a complaint, dispute or legal obligation remains unresolved. Provider-held copies and backups may take longer to clear under the provider’s deletion processes. You can contact us to ask about information we hold or request its deletion.

Information processed outside the UK

Our technology providers operate international systems, so information may be processed outside the UK, including in the United States. Microsoft, Google and Twilio publish information about their transfer arrangements, including the UK Extension to the EU–US Data Privacy Framework and contractual safeguards where applicable.

Your rights

Depending on the circumstances and our lawful basis, you may ask to access your personal information, correct inaccurate information, erase information, restrict its use or receive a portable copy. Where we rely on consent, you may withdraw it without affecting processing that took place before withdrawal.

You may object to processing based on legitimate interests. Contact help@brightearthenergy.com to make a request or raise a concern. We may need to confirm your identity before responding.

You can also raise a concern with the Information Commissioner’s Office, the UK data protection regulator.

Changes to this notice

We will update this notice when our services or use of personal information changes. The date above shows when it was last updated.
